Lock past trading dates at the venue level so your Wirely figures stay final and in sync with your accounting platform.

Overview

Date Locking lets you lock past trading dates at a venue level, preventing anyone from creating or editing transactions on or before the lock date. Once a period is locked, it stays locked — so the figures Wirely reports always match what lands in your accounting platform.

  • Lock past periods – Only past trading dates can be locked. Future dates remain open and editable.

  • Venue-level control – Each venue has its own lock date, set and managed independently.

  • Full audit trail – Every lock and unlock is logged with a timestamp and the user who made it.

Recommended Workflow

The intended use for Date Locking is for the Accountant or Bookkeeper to lock the past period in Wirely before generating the accounting journal. This ensures the figures exported to your accounting platform are final and won't change after the fact — keeping Wirely and your accounts in sync.

Step 1: Assign the Permission to a Role

  1. Go to Settings → Roles & Permissions.

  2. Find the Date Locking permission.

  3. Assign it to the relevant role (e.g., Accountant or Bookkeeper).

Only roles with this permission can set or change the lock date for a venue.

Step 2: Lock the Past Period Before Exporting

  1. Navigate to the Locked Dates module for the venue.

  2. Select the date range covering the past period.

  3. Click Lock Date Range to lock the relevant trading dates.

Step 3: How the Lock Is Enforced

  • Any attempt to create or edit a transaction on or before a locked date is blocked.

  • Users see a clear message explaining why the action is restricted.

  • Future dates are unaffected.

Step 4: Generate the Account Journal

With the period locked, export the journal knowing the Wirely figures are final. No last-minute changes can slip through after the lock is applied.

Step 5: Review the Audit Log

  1. Open the Audit Log tab in Locked Dates Settings.

  2. See every lock and unlock action for the venue — who performed it, their email, and the exact timestamp.

  3. Filter by user, action type, or date range.

Best Practices

  • Each time a new period is reconciled, lock those past dates before the next journal export.

  • The audit log captures every change automatically, so there's no need to track locks manually.

When to Contact Wirely Support

  • The Date Locking permission doesn't appear in Roles & Permissions.

  • You need help activating Date Locking for a venue.
